What does a workspace need before compliance can be evaluated?

Accepted Answer

Create a workspace with an organization type and save the coverage rules that apply to your work. Supported coverage types are general liability, auto liability, workers’ compensation, and umbrella. For each rule, enter whether it is required and its minimum limit. You can also set whether additional-insured wording is required and choose an expiration warning window, which starts at 30 days. New workspaces do not come with your coverage limits or required wording filled in. At least one required coverage rule with a positive minimum must be saved before compliance can be evaluated.

What information should I enter in a vendor record?

Accepted Answer

Enter the vendor name and any contact details you need, then record the insurer, policy number, effective and expiration dates, coverage types and limits, and any additional-insured name or wording shown on the COI. These details are entered by your team; attaching a certificate does not fill them in.

Can I upload or share an original COI?

Accepted Answer

Yes. Attach a PDF up to 50 MB or a JPG, PNG, or WebP image up to 20 MB to an existing vendor record. You can also create a vendor-specific submission link for that record; submitting through it currently requires an accepted workspace account. The original file is stored as received. It is not read to populate policy fields.

What does manual COI review mean in RafterProof?

Accepted Answer

A person on your workspace team checks the certificate and enters the relevant policy details into the vendor record. RafterProof then compares those entered values with the workspace rules you saved. The status check does not inspect the original document or independently confirm coverage with an insurer.

Can RafterProof extract COI details or accept forwarded emails?

Accepted Answer

AI extraction and forwarded-email intake are unavailable until their required credentials are configured. For now, enter policy details manually and attach or submit the original COI file to the vendor record.

What do the vendor compliance statuses mean?

Accepted Answer

Compliant means the entered details meet the saved workspace rules. Missing means a required detail, coverage, limit, or date has not been entered. Noncompliant means an entered value does not meet a saved rule, such as a below-minimum limit, a future effective date, an expired policy, or missing required additional-insured details. Expiring means an entered policy expiration falls within the workspace warning window. These are comparisons of recorded details, not confirmation from an insurer.

Why might a compliance result be unavailable?

A result may be unavailable when the workspace does not have usable saved coverage rules or the vendor policy fields needed for the check are not available. Unconfirmed sample settings are not treated as current rules. A missing value on an otherwise evaluable vendor record can instead appear as a Missing status.

Question 8

Does a compliant status certify that a COI is valid?

Accepted Answer

No. A compliant status only says that the details entered in RafterProof match the current rules saved for that workspace. It does not authenticate the document, verify a policy with its carrier, or provide a legal coverage determination. Your team should review the original COI and confirm that the recorded information is correct.
